Zillow lead follow-up by email

A useful first reply needs an owner, a verified answer and a clear next step. Start there, before adding automation.

This checklist is for small agencies handling Zillow inquiries by email. It is not a Zillow integration tutorial or endorsement. Use the contact channel the lead prefers; email is not always the right first choice.

1. Make someone responsible

Check the email address on the agent’s Zillow profile and review notification settings. Zillow documents new-lead email notifications, but the app inbox and your email inbox are different places.

Assign a primary responder and a backup for viewings, evenings and days off. Check that notifications arrive in the expected mailbox. Record when the inquiry arrived and when someone actually replied. An internal notification is not a reply to the buyer.

2. Read the original inquiry

Identify the property, the question and the information the buyer already supplied. Check listing facts before stating availability, price or viewing times. If you cannot confirm something, say what needs checking.

Zillow’s app can show timeline and pre-approval details. Do not assume every detail appears in the notification email. Before using any forwarding rule, verify its contents, permitted use and the actual lead reply address. Never send a buyer’s answer to a notification sender by mistake.

3. Send one useful first reply

Identify yourself and your agency. Refer to the specific inquiry, answer what you can and offer one next step. Ask only relevant questions, with no more than three in the first email. Skip anything the buyer already answered.

Here is an illustrative email from a human agent, not a real conversation. Replace the brackets and verify the details before sending.

Subject: Your inquiry about [property address]

Hi [first name],

I’m [agent name] at [agency]. Thank you for asking about [property address] through Zillow.

[Answer the buyer’s question using a verified listing fact, or explain what you need to check.]

Would you like to discuss the property or arrange a viewing? Is email your preferred way to continue?

For an automated reply, disclose that it comes from an automated assistant for the agency. Do not imply a human wrote it or promise a confirmed appointment without an agent’s approval.

4. Follow up with a reason

A follow-up should offer something useful: an answer you checked, a requested detail or help choosing a next step. Avoid repeatedly asking whether they saw your email. Record replies so different agents do not chase the same person.

Choose timing around the inquiry and the buyer’s preferences, rather than copying a fixed schedule blindly. Respect requests to stop. Have your broker review contact practices and applicable rules before starting automated follow-ups.

5. Hand off without overlap

When the buyer asks for a call, viewing or information only an agent can confirm, assign a human responder. Share the original inquiry, property, conversation, open questions and preferred contact channel.

Pause automated follow-ups when a human takes over. Mark who owns the next action and when they will do it. Check three things weekly: time to first actual reply, unanswered inquiries and handoffs still waiting for human contact.
